PRIVACY NOTICE

What we collect, what we do with it, and how to ask us to delete it.

The Short Version

Three things matter most.

First, we record lessons. Recordings live on our own servers and are used to support teaching. We do not sell them, share them, or use them for marketing.

Second, our system automatically transcribes lessons using AI, so the teacher can review what happened during class. Transcripts stay on our servers and are visible only to the assigned teacher.

Third, you can ask us to delete your data at any time. Write to contact@forhuman.ca and we will confirm what was removed within thirty days. Signed contracts stay on file for seven years because of how long British Columbia limits contract claims; everything else goes.

The rest of this notice walks through each of those in more detail, plus the things we collect along the way (names, emails, lesson schedules) and the small number of third parties who help us run the service.

Who We Are

A small private tutoring business in Vancouver.

Human Education Collective Ltd. is registered in British Columbia as a Benefit Company. The person responsible for handling questions and complaints about privacy is Nico Jan, reachable at contact@forhuman.ca.

What We Collect

The smallest amount of information that lets us do the work.

When you enrol, we collect your name, your child's name, your child's current grade and school, the subjects you want help with, your contact details, and a few notes from you about anything that would help the teacher.

When lessons happen, we collect scheduling information (when the class was, who attended), recordings of the session, and AI-generated transcripts of what was said. If your child uploads work for review, we keep those documents in their personal folder on our file storage.

When you pay us, we keep records of invoices, payments, and the signed contract.

If you use the parent or student dashboard, we keep account information (your email, when you signed in last) and a record of what you accessed. We also use a privacy-respecting analytics tool (Matomo) on our public website to count visits and understand which pages get read. It anonymises IP addresses and stores the data on our own servers; nothing is sent to Google or any other third-party analytics provider.

That is the full list. If we ever start collecting something new, we will update this notice and date the change.

How We Use AI

Transcription, document processing, nothing more.

The class recording is uploaded automatically to our storage after the lesson ends. A piece of software then transcribes the audio into text. The transcript is saved in our database and made visible to the teacher who taught the class, so they can review the lesson and plan the next one. No one outside Human sees the transcript.

If your child submits written work or photos of homework, our system may run those through AI processing to extract the text and structure for the teacher to review. This is faster and more accurate than a teacher squinting at a phone photo at 10pm. The processed result lives alongside the original in your child's folder.

We do not use any of this material to train AI models. We do not give it to Google, OpenAI, Anthropic, or any other AI company. The AI software runs on our own machines, on hardware we own.

Who Else Sees Your Data

A few companies help us operate.

Each one is contractually limited to running the part of the service we hired them for.

Cloudflare routes traffic to our site and helps with security. They see the same kind of traffic data any internet provider does (your IP address, the page you requested), but not the contents of your lessons or your account.

Google Workspace handles email sent from scheduling@forhuman.ca. If you receive a notification or cancellation email from us, it travels through Google's servers.

Documenso is the e-signature service that delivers the onboarding contract for you to sign. We self-host Documenso on our own servers, so the signed document never leaves our infrastructure.

LiveKit is the open-source video software behind our lessons. We self-host it as well, so the call itself goes through our servers.

Everything else runs on hardware we own and operate from Vancouver.

How Long We Keep Things

We do not keep data forever.

The defaults below apply unless you ask us to delete sooner.

Class recordings: 12 months from the date of the lesson.

Lesson transcripts: 24 months. These are kept a bit longer than recordings because they are smaller and useful for tracking progress over a school year.

Uploaded student work: while you are enrolled, plus 12 months after enrolment ends.

Account information (login, contact details): while you are enrolled, plus 90 days after.

Signed contracts: 7 years from the date the agreement ends. This is the BC Limitation Act window for written contract claims.

Billing records: 7 years, as required by Canadian tax law.

Web analytics: 6 months, IP-anonymised the whole time.

Authentication and system logs: 90 days.

Your Rights

Access, deletion, correction, withdrawal.

Under Canadian privacy law (PIPEDA) and the BC Personal Information Protection Act, you have a few specific rights.

You can ask us what data we hold about you and your child. Write to contact@forhuman.ca and we will respond within 30 days with a copy of everything in your file. There is no charge.

You can ask us to delete that data. Write to the same address. We will confirm within 30 days what was deleted and what was kept, plus the reason for keeping anything (almost always: the signed contract, for the reason above).

You can ask us to correct information that is wrong. Same address.

You can withdraw consent for any of the optional things in this notice (analytics, AI processing of work uploads). The required things, recording for quality assurance and AI transcription of lessons, are built into how we run lessons; withdrawing consent on those would mean ending the tutoring arrangement.

If you think we have mishandled your data and we cannot work it out together, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, for matters specific to BC, the Office of the Information and Privacy Commissioner for BC (oipc.bc.ca).

A Note on Children

Most of the people whose data we hold are minors.

We rely on the parent or guardian to make decisions about that child's data, including all of the rights above. When children grow up, they may exercise these rights themselves; we will follow whatever the parent has told us about who has authority, unless and until the now-adult student contacts us directly.

We do not direct any of our marketing at children, we do not collect more than is needed to run the lesson, and we do not pass any of it to third parties for advertising.

Changes to This Notice

We update this notice when something changes.

The "Last updated" date at the top reflects the most recent change. If we ever change something that affects how we use or share your data, we will email you before the change takes effect.
